Rental Terms & Conditions

These terms and conditions set forth the rules for using vehicles provided by EZO Rent A Car Niseko (hereinafter referred to as “the Company”). Please read carefully before use.

1. Eligibility

A valid driver’s license and required documents must be presented at the time of rental.
Foreign customers must provide an International Driving Permit (IDP) under the 1949 Geneva Convention, or their home license with an official Japanese translation as required.
Drivers must be at least 21 years old and have held a license for more than one year.

2. Rental Charges & Payment

Basic rental charges include vehicle use and basic cleaning fees.
Insurance, options (e.g., child seat), and delivery service fees are charged separately.
Payment is required in full prior to departure.

3. Reservation & Rental

Reservations may be made online, by phone, or at our rental office.
Cancellation fees will apply according to our cancellation policy.
Vehicles are provided with a full tank of fuel and in inspected condition at the time of rental.

4. Vehicle Return

Vehicles must be returned to the designated office or agreed location by the contracted time.
Vehicles must be returned with a full tank of fuel. Any shortfall will be charged at actual cost.
Extensions must be requested in advance. Unauthorized extensions will incur penalty charges.

5. Insurance & Coverage

Basic insurance (liability, property damage, vehicle damage, personal injury) is included with deductible amounts.
Collision Damage Waiver (CDW) is available to reduce or waive deductible amounts.
In case of an accident, you must immediately notify both the police and the Company.

6. Prohibited Uses

Allowing unauthorized persons to drive the vehicle.
Driving under the influence of alcohol or drugs.
Unauthorized modifications or use for commercial purposes.
Any use outside the scope of the rental agreement.

7. Accidents & Breakdowns

In case of accident or breakdown, contact the Company immediately.
Roadside assistance will be arranged by the Company; costs are subject to insurance coverage.
For theft or serious damage, notify both the police and the Company without delay.

8. Non-Operation Charge (NOC)

If the vehicle is damaged or requires repair/cleaning due to accident, theft, or negligence, the following Non-Operation Charges will apply as compensation for loss of business:

If the vehicle can be returned by driving to the designated location: ¥30,000
If the vehicle cannot be driven and requires towing/alternative return: ¥50,000

9. Cancellation Policy

We understand that travel plans can change. To ensure fair availability for all our customers, EZO RENT-A-CAR has established the following cancellation policy. The cancellation fee is calculated based on the date we receive your notice of cancellation.

Before 60 days	No cancellation fee
31 to days prior to rental	20% of the total rental fee
15 to 30 days prior to rental	30% of the total rental fee
8 to 14 days prior to rental	80% of the total rental fee
0 to 7 days / No-show	100% of the total rental fee

How to Cancel: To cancel or modify your reservation, please contact us via email at info@ezo.rent. Please include your reservation number and full name.
Late Arrivals: If you are more than 1 hour late for your scheduled pick-up time without prior notice, we may treat it as a “No-show” and apply a 100% cancellation fee.

10. Miscellaneous

Any matters not covered in these terms shall be governed by the Rental Agreement, Road Traffic Act, and related Japanese laws.
